Help & Guides

Your guide to understanding and using the Alkimi platform.

Account

The Account section is your personal command center within Alkimi. It's designed to give you complete control over your individual experience, from how you access the platform to how it looks and feels. Whether you need to update your security credentials, manage your membership across multiple organizations, or fine-tune the interface for better accessibility, this is where you tailor the platform to fit your needs.

Open it by clicking your avatar at the bottom of the left icon rail. Account settings have their own sidebar, grouped into Account (Profile, Preferences, Communications, Accessibility, Shares), Content (Agent Templates, Instruction Library), Security, Connections (Integrations, My Organizations) and Billing (Subscription). Light and dark mode are not in here: use the theme icon just above your avatar, or press Alt+T.

Profile

Your Profile page acts as your digital identity card. Here, you can manage your essential personal information and security credentials.

Personal Information

This section displays your primary account details. You can update your First Name and Last Name to ensure your team members can easily identify you. Your Email Address serves as your unique user ID across the platform and cannot be changed directly.

For your reference, this page also lists important account metadata, including your unique User ID, the date your account was created, and your last login timestamp.

Agent Preferences

Personalize how agents address you in conversations. These settings only affect agent responses and do not change the platform interface.

  • Preferred Name: Set a name for agents to use when addressing you in chat, separate from your profile display name.
  • Pronouns: Choose your preferred pronouns (they/them, he/him, she/her, or a custom option) so agents can refer to you naturally.
  • Response Language: Select a language for agent responses. The platform interface stays in English, but the agent will reply in your chosen language.

Danger Zone

Located at the bottom of the profile page, the Danger Zone allows you to take critical actions regarding your account status. You can Deactivate your account, which will immediately disable your access and log you out of all active sessions. Note that for a complete and permanent deletion of all your personal data, you will need to contact our support team.

Security

The Security page is your one-stop dashboard for managing how you sign in and how your account is protected. It consolidates all authentication methods and session management into a single view.

Sign-in Methods

  • Password: Change your current password, or set one for the first time if you signed up via a social provider. If you have another sign-in method active (e.g., a linked login or passkey), you can also remove your password entirely.
  • Passkeys: Register hardware security keys, fingerprint sensors, or face recognition as passwordless sign-in methods. Passkeys also count as two-factor authentication, so adding one strengthens your account security without needing a separate authenticator app.
  • Linked Logins (SSO): Connect your account to third-party identity providers (Google, Microsoft, Apple, LinkedIn, or X) for one-click sign-in. You can connect multiple providers for backup access or disconnect them at any time.

Account Protection (Two-Factor Authentication)

Add an extra layer of security by requiring a verification code each time you sign in with your password. When enabled, after entering your password you will be prompted for a one-time code.

  • Authenticator App (TOTP): Set up an authenticator app (such as Google Authenticator, Authy, or 1Password) by scanning a QR code. This generates time-based codes that rotate every 30 seconds.
  • Backup Codes: When you enable TOTP, you receive a set of single-use backup codes. Store these securely — they are your fallback if you lose access to your authenticator app. You can regenerate a fresh set at any time (which invalidates the old codes).
  • Email Verification: If your organization enforces two-factor authentication but you haven't set up an authenticator app, the platform will send a verification code to your email address as a fallback.
  • Organization Enforcement: Your organization's administrators can require all members to use two-factor authentication. When this is enforced, you cannot disable account protection — the toggle will be locked.

Active Sessions

View every device and browser session currently signed into your account. Each entry shows the device type, browser, IP address, and last activity time. You can revoke individual sessions you don't recognize or use "Revoke All Others" to sign out every other device while keeping your current session.

Preferences

Customize the chat interface to match your workflow. The Preferences section lets you control how the conversation is rendered, layout options, code display, and guide visibility. (Light and dark mode are not set here; use the theme icon in the left icon rail or press Alt+T.)

Message Display

These settings control how the conversation itself is rendered. They are synced to your account, so they follow you across devices, and a live preview mirrors the current selection.

  • Message style: Bubbles (the default) puts every turn in a tinted message box. Flat lets agent replies read directly on the page, headed by the agent's name and a brand-coloured initials avatar, with your own turns as compact pills and message actions appearing under the reply on hover. Flat has one sub-option, Brand-tinted blocks (off by default), which washes code, math, callout and table blocks with the agent's brand colour.
  • Reading width: Wide (the default) keeps the classic layout with each message capped on its own side of the pane; Comfortable centres the thread and composer in a narrow reading column on large screens; Full width lets messages span the whole pane.
  • Message density: Comfortable uses larger prose and roomier gaps between turns; Compact uses smaller prose and tighter spacing.
  • Show avatars (off by default): shows the agent's brand-coloured initials and your own profile picture beside messages. Your picture is only shown to you; shared views show initials and embedded widgets show no avatars.
  • Always show timestamps (on by default): turn it off to reveal message times only on hover. On touch devices timestamps stay visible.

Embedded agents and public share links always use the Bubbles style regardless of this setting.

Suggestion Display

Agents often provide suggested follow-up questions to guide your research. You can control how these suggestions appear in your chat window:

  • Vertical: Lists suggestions in a column. Good for reading full questions.
  • Horizontal: Displays suggestions in a row. Saves vertical space.
  • Flex (Top Down/Bottom Up): Adapts the layout based on available space, filling from the top or bottom.

Chat List Density

Controls how much detail each row in the chat sidebar shows: Detailed (roomy rows with agent, timestamp and badges always visible), Comfortable (single-line rows that reveal details on hover) or Compact (dense rows that fit the most chats). This setting is saved to the current device only.

Recent Web Sources

Alkimi keeps the last 10 domains you actually used in scoped @web badges so they are easy to reuse. Use the inline X in the web source picker to remove one recent domain. In Account Preferences, you can remove domains individually or select Clear all. When the list is empty, the section shows No recent web sources yet.

Code Blocks

Control how code snippets are displayed in agent responses:

  • Auto-Collapse Threshold: Set the number of lines above which code blocks are automatically collapsed (default: 15 lines). This keeps long code responses manageable.
  • Word Wrap: Toggle whether long lines of code wrap to the next line or require horizontal scrolling.
  • Line Numbers: Show or hide line numbers alongside code blocks.
  • SVG graphic background: SVG code blocks render as graphics. Match (the default) blends the block into the graphic's own background colour; Neutral keeps the theme surface behind it.

Help & Guides

Toggle the visibility of in-app guidance features:

  • Hide Quick Tips: Disable the contextual help panels that appear at the bottom of sidebars across the platform.
  • Hide Prompt Helper: Remove the sparkle button that suggests prompt improvements in the chat input.
  • Hide Platform Assistant: Remove the floating help button from the navigation bar.

Communications

The Communications page controls which optional emails Alkimi sends you and, for faculty, lets you request educator verification. Open it from Account Settings > Communications, or from the Email preferences link in the footer of any Alkimi email.

Communication Preferences

Each channel has a toggle. Change the toggles you want and click Save.

  • Platform & Feature Updates (on by default): release-note announcements when a new version ships.
  • Newsletter & AI Best Practices (on by default): prompt-engineering guides, case studies, and pedagogical tips, including new blog posts.
  • Offers & Partner News (off by default): promotional credits, early access, and partner features.
  • Community Talk Circles (off by default, verified educators only): invitations to educator roundtables and confidential pedagogy discussions.

The defaults shown when you first open the page are recommendations. Until you save, nothing is stored and no preference-gated email is sent; an unsaved preference counts as opted out. Every time you save, Alkimi sends a short confirmation listing the new state of all four channels. If you receive one you did not trigger, review Security and contact support.

Every preference-gated email carries an Unsubscribe link in its footer and supports your mail client's one-click unsubscribe. The link works without signing in and only turns off the one channel the email belonged to; the change is reflected on this page as well. Turning a channel back on here lifts that suppression again, except after a spam complaint, which cannot be reversed.

Emails not affected by these settings

Security and account notices are always sent: sign-in from a new device, password and two-factor changes, passkey and login-provider changes, session revocations, account lockouts, display-name changes, account deactivation, and organization API key or security-setting changes (sent to organization owners). Billing receipts and invoices come from Stripe, and usage-threshold alerts are configured on the organization Alerts page.

Educator Verification

The Talk Circles toggle stays disabled until your educator status is confirmed. Click Request Educator Verification, enter your institution name and academic role (department, a verification URL such as a faculty directory page, and notes are optional but speed up review), and submit. Alkimi staff review each request by hand; you are emailed when it is approved (the badge becomes Verified Educator and the toggle unlocks), rejected (with the reviewer's note, if any, and you can submit a new request), or later removed.

Accessibility

We believe AI tools should be accessible to everyone. The Accessibility page offers robust settings to adjust the visual presentation of the app for better readability and comfort.

Visual Preferences

  • UI Scale: A slider that lets you adjust the overall size of the interface from 75% to 150%. This is a device-specific setting, meaning it is saved locally to your current browser. This allows you to have different scaling preferences for your laptop versus your desktop monitor.

Color Preferences

These settings help users with visual impairments or those who simply prefer high-contrast interfaces. Unlike UI Scale, these settings sync across all your devices.

  • High Contrast: Boosts the distinction between elements.
    • Increased: Raises contrast ratios for better legibility.
    • Maximum: Applies a strict high-contrast theme.
  • Color Vision: Provides tools for color vision deficiencies.
    • Compensate: Adjusts the color palette to make indistinguishable colors distinct.
    • Simulate: helpful for testing, this mode simulates how the interface looks to users with different types of color blindness.
  • Dyslexic-Friendly Font: A toggle to enable the OpenDyslexic font, specifically designed to improve readability for users with dyslexia.

My Organizations

Collaboration is at the heart of Alkimi. The "My Organizations" page gives you a unified view of every workspace you belong to. From here, you can:

  • Switch Contexts: Instantly toggle between different organizations if you are part of multiple teams.
  • Create New Workspaces: Launch a new organization for a separate project or team.
  • Manage Membership: Leave organizations you no longer need to be a part of.

My Shares

Sharing knowledge is powerful, but maintaining control is essential. The My Shares page lists every conversation link you have generated. It provides a centralized audit log where you can:

Manage Share Links

View, rename, copy, or delete your shared chat links. Deleting a link will make it inaccessible to anyone who has it.

  • Review: See the title, creation date, and scope (e.g., "External" or "Organization") of each share link.
  • Copy: Quickly grab the link to reshare it.
  • Revoke: Permanently delete a share link, instantly cutting off access to that conversation snapshot for anyone who had the URL. You can delete links individually or use the "Delete All" button for a bulk reset.

Agent Templates

Save and manage your personal library of agent templates. Templates are reusable starting points that capture an agent's full configuration — model, instructions, knowledge connections, tool settings, and more.

  • Import JSON: Upload a previously exported agent configuration file to save it as a template.
  • From Agent: Snapshot any existing agent's current configuration as a new template.
  • Usage: Your personal templates appear in the "My Templates" tab when creating a new agent, giving you quick access to your proven configurations.

Instruction Library

Build a personal collection of reusable instruction sections. These sections can be inserted into any agent's instructions, helping you maintain consistency across multiple agents without rewriting common rules.

  • Section Types: Create freeform text blocks for open-ended instructions, or structured lists with nested items for organized rules and protocols.
  • Usage: Your sections appear in the "My Sections" tab of the "Add from Library" dialog when editing an agent's instructions in the Context Studio.

Integrations

Connect your cloud storage accounts to import files directly into knowledge collections. The Integrations page shows a card for each available storage provider with a "Connect" button to authorize access via OAuth.

Supported Providers

  • Google Drive: Browse and import files from your Google Drive, including Shared Drives.
  • OneDrive: Access your Microsoft OneDrive files and folders.
  • Dropbox: Connect your Dropbox account to import documents.
  • Box: Link your Box account for enterprise file access.

How It Works

Once connected, you can browse your cloud files from within the platform when adding content to knowledge collections. Files are imported into Alkimi and processed like any other upload — the connection lets you pick files from your cloud storage without downloading and re-uploading them manually. You can disconnect any provider at any time to revoke access.

Available integrations depend on your organization's server configuration — if no providers are shown, contact your administrator to enable them.

Activity

The Activity page provides a detailed audit log of important changes made to your account. This allows you to monitor for unauthorized access and keep track of your own actions.

  • Login History: A record of when you accessed the platform.
  • Security Changes: Updates to your password or connected authentication providers.
  • Profile Updates: Changes to your name or other personal details.
  • Organization Changes: When you join or leave an organization.

Each entry includes a timestamp and details about the action performed. You can use the search and filter tools to find specific events or review activity within a particular timeframe. Results can be exported as CSV.

Note: Activity is currently available as part of a private beta. If your organization is interested in participating, please contact our sales team.

Support

We are here to help. The Support page provides a direct line to our team. Open it from the Help icon in the left rail or via Ctrl+K -> Support.

  • Direct Request Form: Submit a support ticket without leaving the app. The form automatically pre-fills your name and email address, so you can focus on describing your issue.
  • Context Aware: When you submit a request, we receive details about your account (like your User ID) to help us troubleshoot faster.
