Your guide to understanding and using the Alkimi platform.

Workspaces

Workspaces are subdivisions within your organization that let you scope agents, knowledge collections, and member access into separate contexts. Think of them as projects or departments -- each workspace has its own set of agents, collections, and member roles.

Every organization starts with a Default workspace that all members can access. You can create additional workspaces to separate work across teams, courses, or projects. All workspace-scoped views (Chat, Agents, Knowledge) operate within whichever workspace you currently have selected.

Managing Workspaces

The Workspaces page (accessible from the top of the navigation rail) is your home screen. It displays all workspaces you have access to as cards, showing the member count, number of agents, and number of collections in each.

Toolbar

  • Search: Filter workspaces by name.
  • Org-wide: By default, you only see workspaces you belong to. Organization administrators with the Manage Settings permission can toggle "Org-wide" to see all workspaces in the organization, including ones they are not a member of. From there, they can grant themselves access to join.
  • Archived: Toggle to show archived (read-only) workspaces that are hidden by default. Archived workspaces can be restored at any time.
  • Views: Switch between grid (cards) and list (table) layout.
  • + New Workspace: Create a new workspace. Requires the Create Workspaces organization permission.

Workspace Actions

Right-click a workspace card to access quick actions:

  • Settings: Open the workspace settings (profile, members, roles).
  • Archive: Make the workspace read-only and hide it from the main list. Content is preserved and the workspace can be restored later.
  • Unarchive: Restore an archived workspace to active use. Shown instead of Archive on archived workspaces.
  • Enable / Disable Auto-Join: Toggle whether new organization members are automatically added to this workspace. Available to org admins on any active workspace.
  • Dismiss setup guide: Hide the setup checklist on a workspace created from a preset whose starter collections are still empty.
  • Leave: Remove yourself from the workspace.
  • Delete: Permanently remove the workspace and all its data. This action cannot be undone.

Creating a Workspace

Creates a built-in AI assistant and applies standard configuration.
  • Name: The workspace name (2 to 64 characters).
  • Description: An optional description (up to 256 characters).
  • Icon: An optional custom icon. Can also be set later from Workspace Settings.
  • Set up with recommended defaults: When checked (default), the workspace will be created with a built-in General Assistant agent and standard configuration. Uncheck to start with a completely empty workspace.

Settings

Each workspace has its own settings page, accessible via the gear icon on the workspace card or from the navigation rail when inside a workspace. The profile page lets you:

  • Edit the workspace name, description, and icon.
  • View metadata: workspace ID, status (active or archived), member count, agent count, collection count, and creation date.
  • Archive the workspace to make it read-only, or delete it permanently from the Danger Zone.

Members

The Members page controls who has access to this specific workspace. You can add members from your organization and assign workspace-specific roles to each one. Members can hold multiple workspace roles, and their effective permissions are the union of all assigned roles. The exception is a Canvas-managed membership, where Canvas owns the complete workspace membership and assigns exactly one reviewed mapped role.

Workspace membership is separate from organization membership -- being part of an organization does not automatically grant access to all its workspaces (except the Default workspace, which uses auto-join).

Canvas Roster Sync

Organizations with Canvas enabled can open Workspace Settings → Roster Sync to align workspace access with Canvas course enrollments. This setting is available to members who can manage workspace members.

  • Select multiple instructor courses, complete course rosters, or one or more sections from each course.
  • Map Canvas Teacher, TA, Student, Designer, and Observer enrollments to any workspace role or No access.
  • Review one row per person. When several active enrollments contribute, the highest-priority mapped Canvas role determines the person's single workspace role.
  • Generate a preview before every change. Sync never applies automatically; an authorized member manually selects and confirms the reviewed rows.
  • Adopting a member gives Canvas ownership of their complete workspace membership and replaces all current workspace roles with the one reviewed mapped role.
  • Current users and workspace owners are protected from adoption, role replacement, and removal.
  • Invite eligible unmatched users when you also have permission to manage organization members. Invitations use the reviewed preview snapshot, and Apply does not fetch Canvas again before sending them.

If a Canvas-managed person no longer has a granting enrollment, a reviewed apply removes their complete workspace membership, not one additive role. Their organization membership is preserved. Removing someone from a workspace never removes them from the organization.

On the Members page, Remove Canvas management unlinks a managed non-owner membership from Canvas while keeping its current workspace role. The membership returns to manual management, so its role can be edited normally afterward. Connect or repair Canvas from Organization Integrations.

Roles

Like organization roles, workspace roles are fully customizable. You can create custom roles with granular permissions tailored to your team's needs. This is different from agent and collection roles, which are fixed.

Default Roles

Every new workspace starts with three built-in roles:

  • Owner (protected): Full workspace control including settings, members, roles, and deletion. Name and permissions cannot be changed.
  • Contributor: Can create and manage agents and collections. This role can be renamed and its permissions adjusted.
  • Member (protected): Basic workspace access. Name and permissions cannot be changed, but description can be edited.

Full workspace control. Protected - permissions cannot be modified.

Custom Roles

Workspace administrators can create additional roles with fine-grained permissions covering settings management, member management, agent creation, collection creation, and more.

Restrictions: For security, custom workspace roles cannot include the Delete Workspace or Manage Roles permissions -- these are reserved for the protected Owner role.
